# Privacy policy.

What we collect when you visit this site or get in touch, and what we do with it.

## Who we are

This site is run by UIC Digital Ltd, whose registered office is at The Loom, 14 Gowers Walk, London E1 8PY. We are the controller of the personal data described here. For anything about this policy or your data, write to [hello@uicdigital.com](mailto:hello@uicdigital.com).

## What we collect

- **When you send us a message.** The contact form asks for your name, email address and message. The form on Get started asks for your name, organisation, email address and the workflow you’d like help with. We also note which page you sent it from. If you email us directly, we have whatever you put in the email.
- **When you accept analytics cookies.** Google Analytics records which pages you read, how you arrived at the site, the type of device and browser you use, and your approximate location (country and city, worked out from your IP address, which Google Analytics does not store).
- **When you visit any page.** Like every website, ours receives your IP address and browser details so it can send you the page. Our hosting provider uses them to deliver the site and protect it from abuse.
- We don’t ask for, and don’t want, sensitive information such as health details. Please leave it out of your message.

## Cookies

- The site sets no cookies until you choose. If you accept analytics in the cookie banner, Google Analytics sets two cookies, _ga and _ga_B0KT6KQZJV, which last up to two years and tell visits from the same browser apart. Google’s advertising features are switched off.
- If you reject, nothing from Google loads. If your browser sends a Global Privacy Control signal, we treat that as a no and don’t ask.
- Your choice is remembered in your browser’s storage (not a cookie) for a year, then we ask again. You can change it at any time from “Cookie settings” at the foot of every page; withdrawing deletes the analytics cookies.
- Nothing else from other companies loads in your browser. Our fonts are served from our own site.

## How we use it

- **To reply to you**, and to follow up about related work we think is relevant. Our legal basis is our legitimate interest in answering business enquiries. If the conversation leads to working together, it becomes the steps needed to enter into a contract with you. You can tell us to stop following up at any time.
- **To understand how the site is used**, so we can improve it. Our legal basis is your consent, given in the cookie banner, which you can withdraw at any time.
- **To make sure no message is lost.** If a message fails to send, our error log records the email address it came from so we can contact you. Our legal basis is our legitimate interest in answering every enquiry.
- We don’t sell your data, use it for advertising, or make automated decisions about you.

## Who else sees it

- **Microsoft** delivers form messages to our inbox through Microsoft 365, and hosts this website and its error logs on Microsoft Azure, in the EU (West Europe).
- **Google** provides Google Analytics, only if you accept analytics cookies. Google may process this data in the United States.
- Both act on our instructions under data processing terms. Where either processes data outside the UK, it is covered by safeguards UK law recognises: the UK Extension to the EU–US Data Privacy Framework, or the UK addendum to the standard contractual clauses.
- We may also share data if the law requires it, or with professional advisers such as our lawyers and accountants.

## How long we keep it

- **Messages from the forms or by email.** If nothing comes of the conversation, we delete them two years after our last contact with you. If we go on to work together, they become part of our records of that work.
- **Error logs.** Deleted after 30 days.
- **Google Analytics data.** Kept by Google for 14 months, then deleted. Totals that can’t identify anyone (such as page views per month) may be kept longer.
- **Your cookie choice.** One year, in your own browser.

## Your rights

You can ask to see the data we hold about you, have it corrected or deleted, restrict how we use it, receive a copy to take elsewhere, and object to us using it, including to follow-ups, which we will then stop. Where we rely on your consent, you can withdraw it at any time. To ask, write to [hello@uicdigital.com](mailto:hello@uicdigital.com); we will reply within a month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at [ico.org.uk](https://ico.org.uk) or on 0303 123 1113, though we’d appreciate the chance to put it right first.

## Changes to this policy

We will update this page when what we collect or who we share it with changes. Last updated 9 October 2026.
